As a leader in the
field of technology within the security
industry, we constantly strive to stay on top of
new technology and make every effort to utilize
various programs and technical tools to enhance
our service, minimize mistakes, ensure great
communications and of coarse, make our job a
little easier.
Therefore, we have embarked on a program which
utilizes a mobile laptop issued to our patrol
vehicle and management team which enables them
to directly communicate with our corporate and
satellite offices, retrieve documents, templates
and daily activity journals and logs.
This allows our team to counsel employees on the
spot with a written record, review lost post
orders, review site maps for our clients and
most importantly, prepare daily activity reports
called DAR. And e-mail them daily, nightly or
weekly depending on client preference.
Many clients are familiar with the old way of
doing business with the on-site security officer
writing a hand report and dropping off a copy to
our office or a dedicated on site box on a
weekly basis for review and re-route to client.
Let’s examine the pitfalls of this program: |
| |
|
|
|
|
þ |
It takes an
average of 1-2 weeks to get the report
to the client for review |
| |
þ |
Handwriting
penmanship is often times un readable |
|
|
þ |
Spelling and
grammar errors abound |
|
|
þ |
Report is
usually vague requiring further
investigation by both the client and our
management team. |
| |
|
|
|
Lets face it… a client does not have time to
wait for the report to be dropped off by the
officer to our office once a week, wait for us
to review and mail to them (faxing usually is
never clear, especially on a colored carbon copy
such as pink) and then the client has to review
it only to find out that a problems exist on the
property 1-2 weeks ago that should have been
already addressed and fixed.
Now, lets examine the eDAR (Electronic Daily
Activity Report) program: |
|
|
|
|
|
|
þ |
Management
personnel speaks directly with officer
who relates entire activity for the day,
allowing management team member to ask
and answer the 5 w’s for the report. |
| |
þ |
Management
team member then sends the report either
on free flow e-mail format or on a
structured Word Document directly to the
client |
| |
þ |
Client has
information instantaneously and can put
things into motion |
| |
þ |
Hard copy
record. No mass record to store in a box |
| |
þ |
Can respond
(reply) instantly if more information is
needed |
| |
þ |
Can read the
report and report is spell checked and
grammar checked |
| |
|
|
|
Of course, we must always work with our
management and dispatch personnel to strengthen
their report writing skills as each employees
come from a vast background of educations and
strengths and weaknesses in report writing.
We offer workshops for those in need of report
writing and we work with field employees to help
them offer up detailed information which helps
the report writer.
But all in all, what a time saver and a positive
step towards continued professionalism and
dedication to remaining a leader in the field of
security.
Every client, every location, every situation is
different and we can customize a eDAR program to
fit every client’s need. |
